Terms and conditions

Term Time Programme

Payment

Our regular term-time caoching programme is paid via monthly direcr debit.

We also accept a block payment for 12 lessons which must be paid for in cash, in advance of the first lesson of that block.

Please do not try to pay in another way other than the 2 above. If you do, we will not be liable for loss of payment or any other damages that may result from this action.

Direct Debit Payment

Primal Health Tennis Academy Ltd uses platform SmartDebit to process direct debits for our term time programme.

A Direct Debit mandate must be set up prior to joining a course with payments taken on the 20th of the month. Each monthly payment is covering the next month in advance.

This manadate will be availabe at any caoching session to fill out by hand, alternativly there is a link to a web sign up. (insert link here)

Cancelled Sessions

We aim to run 36 weekday and 39 weekend classes per calender year.

The monthly payment covers this amount of lessons exactly.

If we cancel a class, a replacemnt session (at the same venue, day and time) will be added. This new date will be communicated to you.

In the rare event we do not have any spare dates to make up the class, a fullr efund for the canclled session, £12.00, will be deducted from your next monthly payment.

We will NEVER charge for a lesson we do not deliver.

Replacment Sessions

In the event you know your child/ren are going to miss a class, can you can book a replacment session.

These sessions must be booked 48hrs before your usual class.

This is limited to three replacement sessions per child, per calander year.

We cannot guarantee there will be an appropriate level of class with availble space at a time and venue that suits a players' availability.

Cancellation Infomation

In the case you'd like to stop your child/ren's lesson with us we have a 5 lesson cancellation notice period.

From the date you inform us, by e-mail to info@ph-tennis.co.uk, that you'd like to leave, you/your child/ren will have 5 more lessons to attend.

Due to the irregular amount of lessons per month, but the regular monthly payment, your final Direct Debit collection will be adjusted to take into account the total amount of lessons run compared to the total amount paid.

This means your final payment may be higher or lower than your usual monthly price.

Please note if notice to cancel is given within 5 working days or a payment date (15-20th of a month), the 5 lesson cacnellation period will begin on the 21st of that month. The above terms will then apply.

Individual Coaching Session Term and Conditions

Booking and Payment

Our individual coaching sessions can be booked as one off sessions or in a block of 6

Payment must be recieved before the first lesson for the entirety of the block

Upon booking your 6 sessions dates and times will be fixed in agreeement between client and coach.

Cancelled Sessions (Block of 6)

A confirmation text will be sent out by 11am the day before your lesson (7pm Thursday for any Saturday lesson and 4pm Saturday for any Monday lesson)

After this text is sent the lesson is confirmed and no cancellation or postponment is possible.

Before this text a lesson can be postponed to the next availble date at the end of the block, or to another time and date if agreed by all parties.

Plase note this can only happen for 2 of the lessons within your block of six. After you have adjusted 2 lessons mid-block, any further changes will be down to Primal Health's discrection.

Booking and cancellation for all other courses and events

All bookings will be confirmed by email, provided an email address is given. This will mean your place on the course has been reserved (not confirmed) Confirmation occurs on receipt of payment, this can be through an online bank transfer. Details on how to pay will be included in the reservation e-mail.

In the unlikely event a course is cancelled (by us) before the start date, a full refund of any monies paid will be given.

If you cancel your booking within 7 days of the start of the course there will be no refund.

If you cancel within 14 days of the start of the course there will a 50% refund.

If you cancel more than 2 weeks before the start date a full refund will be issued.

If sessions are cancelled during the course, you are entitled to make these up at any other equivelent session, or during a school holiday camp. The options will be e-mailed to you after the cancellation.

General Terms and Conditions

Personal belongings

Primal Health cannot accept responsibility for any loss of or damage to personal belongings prior to, during or after a session.

Insurance

All children in our care are covered by Public Liability Insurance.

First aid

In the event of an accident, first aid will be administered to children in our care, and the emergency services will be called if necessary, unless advised otherwise. If your child has specific medical needs that may impact on their wellbeing or enjoyment of the course, e.g. the use of an Epipen, it is essential that the coaches are aware prior to the commencement of the course.

We suggest that all parents of children carrying Epipens or inhalers arrange for a qualified medical practitioner to demonstrate use of these to our Head Coach on their first day. If this is not possible then we will accept a demonstration given by a parent/guardian instead.

Photography

Primal Health Tennis Academy may take photographs and video footage at courses to use for training, marketing and promotional purposes. To exclude your child we must be informed in writing at the time of booking.

Equal opportunities

Primal Health is an equal opportunities employer and also welcomes all children regardless of their gender, ability, race or religion. Each child-attending course is of equal value and is entitled to equal access of opportunity. We operate a zero tolerance policy to discrimination or bullying of any kind.

Child exclusion

On rare occasions children can prove incompatible with the general well-being of the course e.g. bullying, disruptive or aggressive behaviour. We reserve the right to exclude such children. No refund will be made for any remaining days booked, and any costs associated with the exclusion, including transport home, will be the parent's responsibility.

Child protection

Primal Health Staff have a duty to respond if they suspect a child in their care may be suffering from abuse, or if a child makes a disclosure about abuse. In this event we will contact the Local Safeguarding Children’s officer at the LTA and act on their advice.
